Voucher Reward Scheme

Purpose of the Scheme

The purpose of the voucher scheme is to reward full members of the club who both organise events and attend other members' events.

Earning Vouchers

A member can earn a £5 voucher for any of the following:

  1. Organising an individual event that is not part of a series.
  2. Organising the first event in a new series of events.
  3. Organising three events in any already running series (they can be in different series), whether started by the organiser or someone else.
  4. Introducing to the club someone who then becomes a full member for at least three months.

Events are deemed to form a series if they are similar to each other and relatively little additional effort is required after organising the first one.

If an event is jointly organised by two or more members then a single voucher is shared between them.

Each member may normally earn a maximum of 3 vouchers per calendar year for organising events.

If organising an event involves an exceptional amount of work the committee may, at its discretion, award an additional voucher that is not counted in the normal annual limit.

Vouchers are normally be issued within a month of the event being organised.  They are emailed to members who receive their bulletins by email, and sent with the next bulletin to members who receive bulletins by post.

Vouchers expire one year after they are issued.

Spending Vouchers

The holder of the voucher can spend it in one of two ways explained below.  In either case the committee member or organiser paying the discount or endorsing the voucher must complete and sign the Event Attended section of the voucher.

To obtain a £5 discount off an event

In this case the holder should hand the voucher to a committee member at the event in return for a £5 discount off the payment due for that event. It must be organised by another member and at least £5 must be due.  If no committee member is present, or it is not practical to give the discount, then the holder should give or send the endorsed voucher to the treasurer after the event to obtain his/her £5.

The holder must attend the event by the expiry date given on the voucher.

To obtain £5 off next year's membership fee

In this case the holder must attend an event organised by another member and ask either a committee member or the organiser to endorse the voucher by completing and signing the Event Attended section.  The endorsed voucher should be returned to the holder so that he/she can use it to get a £5 discount off his/her next membership fee when due.

When membership fees are due the holder must let the Membership Secretary have the endorsed vouchers in order to receive a discount off the fees.

Up to 3 endorsed vouchers may be used to get a maximum £15 discount off the annual membership fee.

The holder must attend the event by the expiry date given on the voucher, but can still obtain a discount off his/her next membership fees even if that is after the expiry date.
